The right part for a specific machine starts with knowledge recorded at the point of sale.

The service technician recognises the fault, but the repair still has to wait. Someone first has to establish which variant of the assembly was fitted to this machine, find the right diagram and confirm the part number. A mistake can mean another order, longer downtime and a second visit.

That is why it is worth looking at how product knowledge moves from sales to service. The configuration prepared during quoting can become the starting point for servicing a specific unit for years to come.

Why choosing parts can make a repair take longer

One machine model can come with different equipment, hydraulic system, electronics and assemblies changed across successive versions. The model designation alone is not always enough to order a part correctly.

A catalogue covering the whole series shows many variants. The technician or parts department employee has to work out which one applies to the customer’s machine. Sometimes this means comparing several diagrams, searching the documentation and asking colleagues.

With hydraulic or electronic systems, the right version of the documentation also matters. Even finding a similar diagram does not settle whether it shows the equipment of this particular unit.

Every such step lengthens the path to solving the problem. If the wrong part is chosen, the time spent on diagnosis is followed by waiting for another component and organising further work.

The model designation alone is not always enough to order a part correctly.

Machine configuration as the beginning of its history

CPQ, short for Configure, Price, Quote, covers product configuration, pricing and preparing the quote. For machines, this process produces knowledge that is also useful after the sale: which equipment was chosen, which options were combined and which version the customer ordered.

Using this data later requires linking it to a specific machine.

In JAPRIVIO, the unit record in the service module stores the serial number together with the model and configuration code, taken from the order or from the dealer’s yard stock records.

This gives the service employee a reference point for what was actually ordered and delivered. They can use this information when verifying parts, analysing documentation and preparing the repair.

The configuration stops being just a sales document and becomes a description of a specific machine.

Parts catalogue matched to the configuration

Imagine a machine available with several hydraulic system variants. The catalogue for the whole series may contain components of all these versions. Every order then requires establishing which set applies to the unit in question.

The parts catalogue in JAPRIVIO can highlight the components related to the equipment chosen in the configuration. The other variants remain in the catalogue, but there is no need to look through them first. From the customer profile you can go to the parts of the machine they bought, with its configuration in the background.

The quality of the input data still matters. Highlighting works when parts are assigned to configurator options, which is why we prepare this link together with the manufacturer for selected machines. In this way, knowledge about product variants can be organised at the source instead of being reconstructed with every service request.

Repair history complements the configuration from the day of sale

A machine changes during operation. It goes through repairs, part replacements and upgrades. After a few years, its condition may differ from the configuration recorded at the time of the order.

That is why, alongside sales data, a history of later work is needed.

In JAPRIVIO, the unit record collects service requests, service quotes with parts, work protocols and claims, as well as costs over the years and the date of the next inspection. The manufacturer can assign manuals to models and serial number ranges, so the technician sees documents that match this machine.

This helps answer practical questions: what has already been replaced, what work was carried out and what information was left after the previous repair. The next employee gains access to knowledge that can be used during diagnosis.

The history is also useful when a different technician goes to the customer. Information from the previous visit remains available in the system.

Quoting data can support later service, and repair history can add to the knowledge about a specific unit.

Documentation available during field work

Machine service also takes place in locations with weak coverage or without a stable internet connection. Access to information therefore has to be considered when designing everyday work.

The importance of this area is visible in the development direction of service applications. In its Field Service plan for the first half of 2026, Microsoft lists better performance of the mobile app in online and offline scenarios and shorter sync times as areas of investment.

In JAPRIVIO, the sales configurator can work without a connection today. The machine record, documentation and service assistant require internet access. Access to them in the field without coverage is a development direction for us.

When assessing such an application, it is worth checking a specific scenario: what information the technician has without a connection and which tasks they can complete then.

Shared product knowledge connects CPQ with service

On the CPQ side, management of configuration rules across the product lifecycle is being developed. Tacton describes an approach in which product rules and constraints are managed over time, and CPQ uses the approved configurability so that sales only sell valid solutions even as the product changes.

On the service side, ServiceMax describes managing the actual configuration of a machine in operation, taking replacements and upgrades into account. Validating this configuration is meant to support, among other things, correct parts selection and maintenance planning.

From the JAPRIVIO perspective, these two directions share one practical goal: keeping product knowledge continuous from the quote to subsequent repairs.

Where AI helps in this process

Well organised documentation and machine history also form the basis for AI assistants.

Service solutions are developing functions for searching information, preparing job summaries and guiding the technician through the successive stages of analysing a problem. Salesforce, among others, describes such uses.

The usefulness of an answer, however, depends on context. The assistant should know which machine the question concerns and which documentation it uses. In JAPRIVIO, the service assistant answers only on the basis of published manuals that match the unit and points to the cited page. When there is no evidence in the documents, it says so directly.

An example question might be: “Which hydraulic diagram applies to this serial number?”. The answer should refer to the right materials, so the technician can verify its basis and decide on the next steps.

Principle: AI helps specialists reach knowledge faster and use it during their work. Responsibility for diagnosis and repair remains with people.

What is worth measuring in everyday service work

The effect of organising data can be assessed through specific tasks:

  • the time needed to confirm a part number;
  • the time to find the right documentation or diagram;
  • the number of orders requiring correction because of a wrong selection;
  • the number of repeat visits caused by a missing correct part;
  • the completeness of the repair history available before the next visit.

These measures show where the process has improved and what still needs work. They also show whether the information recorded in the system helps the people servicing the machine.

In JAPRIVIO, we connect the configuration and serial number with the parts catalogue, documentation and service history. Service, the parts catalogue, the documentation library and the AI assistant are modules that the manufacturer enables according to the needs of its network. This way, knowledge gathered during the sale can serve the company through the following years of product support.
